Get Organized for Business Success!

Ever wonder why some businesses are more successful than others? There are several reasons, some are; focus, dedication, talent, marketing and organization. Why organization? Without organization you cannot stay focused, implement marketing strategies, have time to work on your business-not just in it and without organizational strategies you are quickly overwhelmed. When you get overwhelmed all you have time to do is to put out fires, you don’t have time to develop or grow your business. And if you don’t have time to develop and grow your business, you will never experience the level of success you desire.

OK, that’s the bad news. Ready for the good news?

Getting organized isn’t as hard as you think. The first place to start is in how you organize your day, your use of time.

Step 1- Master Your Time

Take an hour and in that time review how you spend a typical workday.

•    What’s the first thing you do when you get into work?
•    How much time does that take?
•    What’s the second thing you do?
•    How much time does that take and so on, until you’ve accounted for a typical day.

Now that you know how you spend your day, what part of the day is your most energetic? Your most creative? For me, my most creative, energetic time of day is in the morning. Once you know what time of day you are most energetic, schedule your day so that your energetic time is spent on your big projects-development, client proposals, customer service and those items that directly are in your first category. (See step 2 below for category information). DO NOT spend this time answering email, doing small projects or running errands.

In fact, I recommend reducing the time you spend answering and writing email to 1 to 2 times a day. For me, this means that I do not answer or read email until after I’ve worked for about 1 1/2 hours. I check email twice a day, the first after my productive
1 1/2 hours and the second before I leave the office. I spend 30-60 minutes on email each time. If this is the only organizational step you incorporate, I guarantee you’ll save several hours each day. Imagine how much you can accomplish with an extra 2-3 hours everyday?

Step 2- Build a Team

Begin by separating your daily tasks into a series of 3 categories.

•    Category 1-This category consists of tasks that generate revenue. Some examples are: customer service, follow-up, product development

•    Category 2- This category consists of tasks that directly support the generation of revenue. Some examples are: networking, client proposals, and education/training that support your ability and skills.

•    Category 3- This category consists of tasks that do not generate revenue, they support the business but they do not add to the bottom line. Some examples are: bookkeeping, paperwork, responding to every email message you receive throughout the day and the creation of your marketing materials.

Once you’ve separated your daily tasks into these 3 categories, review which of the items you can release to someone else, an assistant, a virtual assistant, a bookkeeper, etc. The items you should consider outsourcing are those items that are in the 3rd category, these items do not generate revenue. To spend your time on these tasks will not improve or grow your business. Almost all of your time should be spent on those items that generate revenue.

The mistake many entrepreneurs make is trying to do everything themselves. Why? Because they don’t think they can afford help. As long as you spend time doing tasks that don’t generate revenue, you take money away from your business. When you hire someone else to do those items, you have gained time, and this is time that should be spent generating revenue. When you spend the majority of your time generating revenue, you make more money. And when you make more money, you can afford to hire help! See how easy that is?

Step 3- Update Your Office

•    Update your computer programs for the New Year.  To grow your business you need the best tools available. Not necessarily all the tools available, but the tools you use should be up-to-date and as effective as possible.

•    Purchase and use office organizing tools, but before you buy any new organizing items, spend sometime thinking about how you work, what areas are most natural for you to use for files, for projects, etc. Once you know how you use your space it’s easier to purchase the right organizing items.

•    Clear all clutter from your desktop

•    Clear all clutter from your computer desktop (this means old email messages, files on your desktop, old files, old programs, etc.)

•    Clean any windows in your office

•    Consider a fresh coat of paint in a new and inspiring color

•    Purchase or improve your task lighting

•    Position your desk so that you have a solid wall behind and have a full view of your entire office when seated

•    Outsource those aspects of your business that do not require you

When determining your organizational strategy, you’ll need to know who you are, what you do, why you do it, and where you can utilize help. While each of these steps seems simple enough, spending time evaluating each step and laying it out in relationship to each of the other steps ensures that you’ll have an organizational strategy that supports growth and opportunity.

If you are in the direct sales, network marketing, insurance, mortgage, real estate, or a host of other businesses, new clients and prospects are your life blood. You must be constantly stuffing your pipeline.

If you have ever purchased “fresh leads”, “surveyed leads”, “live leads” or even “verified leads” from online, then you know what a crap shoot they are.   The most productive and cost effective leads are the kind that you generate yourself.

The best free leads come from referrals. Always ask for them. Offer rewards for them. With every order I placed with our grocery delivery service, they offered me free food in exchange for referrals. Think along these sames lines. You don’t have to offer a reward that costs you anything. (After all, we are talking about free leads.) Be creative.

Lie #7: You can learn everything you need to know in a few short days.

Ever found yourself answering the phone, making a sale, running a sales meeting, welcoming customers and doing your company’s accounts all in one day? Sure you have. You’re trying to be God and do everything and be in more than one place at one time. You will fail. People do this with their website too. Rather than just stopping at providing content (which is where you should stop and hand everything else over to the professionals) some people think that despite no professional training or education in the subject they are experts in web design, website marketing, graphic design and business consultancy. Remember - stick to what you know, leave everything else to the experts. Your job is to run your business - not to run around like a headless chicken trying to create a website, market a website, do the books, answer the phones and make the tea.” –Mike Cheney

You can learn enough to get started and have a web-site up and running in a few days,work from home scam books but you cannot learn everything that you need to know to be successful. There are many secrets to successful online marketing, and those who are truly successful never stop learning and or discovering them.

Again, educate yourself. The best online business builders still spend a lot of time learning from others. Plan on continually educating yourself like you would for any business.

Lie #6: If you just sign up for “this program” you will have everything you need for your home based business.

 

Online opportunities may can be very misleading. They persuade you to sign up for our program, and sell all of these e-books or join all of these affiliate programs and you can sell everything online and make great money with no hassle. This sounds great in theory, but is a nothing but a lie.

A few years ago my husband signed up for a $250 program and $150 a month so that he could be an affiliate to over 500 companies, and have access to sell thousands of products on eBay etc. Unfortunately, out of 500 companies, he could not find even one product that he could sell online or a reasonable profit. It is possible to make money with affiliate programs, but not on eBay or other auction sites like so many online businesses claim. You must have legitimate marketing system and your own site to sell from if you are going to make money promoting an eBook or affiliate products. Having stuff to sell is not enough.

Lie #5: You just build it and forget about it.

If you have put the time into getting your online business up and running and successfulonline work at home scams do nothing you are ahead of 99.9% of everyone else. Do not think, however, that you can just quit now and your job is done. You may need to work only and hour or two a day, but still plan on putting some time into your business on a regular basis.

All successful companies advertise and develop new products or services etc. Think of any large company you can. I’m sure they spend a lot of revenue to remind you how wonderful they are. You must continue to add new content and to promote your business if you want it to continue to grow.

Lie # 4: If you build it they will come.

If you think that you can just build a web-site or buy a replicated site, and you will suddenly have sales, think again. Realize building a website is not like building a field of dreams. You can build it, and no one will magically come without any advertising or promotion. When you first build a web-site think of it this way; it is like having a store in the middle of Siberia, and no matter how nice it looks, no one will magically fly over there and happen to find you. You must advertise and promote your web-site. There programs that will save you incredible time and money, which contain built in promotion software. This is new technology that does save individuals incredible time and money, but there is still things you will need to do manually to drive traffic. You must have a marketing plan for your business.

Lie #3: You can start a business with no experience and only $20 in your pocket.

Well this may not be a total lie because a few people have truly done this, but this is very much the exception and not the rule. These people also spent years leaning by trial and error, and went well into the negatives before they ever saw real returns. These same “instantly successful” people will also tell you about numerous seminars and training they have attended to learn the things that have brought them real success. Realize you can get started with a great business opportunity for an investment typically under $500-$1000 and that is a great way to start.

Much of the start up cost will be determined by your skill set and previous experience

As you become profitable continue to invest in your training and education to continually approve your skills and grow your business.

Lie #2: You will have so much more time to spend with your family.

While this may eventually be true, don’t expect it in less than 6 months to a year, andwork at home scams time freedom more than likely a little longer. Let me assure you that anyone who have ever had incredible business success especially online had a whole lot less time with their family while they were getting started. I don’t care what the business is you must be willing to invest a significant amount of time especially at first to get your business going. If your business is online, realized starting an online business may be just as time consuming as a brick and mortar store. Your time will be spent building your site, finding content, choosing what to market, and the most time will be spent advertising in order to drive traffic to your site. After you build up a large tribe,  you will have more time and you will make money while vacationing in Hawaii. Just don’t expect that this will happen without a significant time investment for a minimum of 6 months to 2 years.
